Privacy Policy

Who are we

Oxfordshire Wine Tastings, sole trader and registered address, is the “data controller” for the personal information described in this policy - meaning we decide how and why it's used.

If you have any questions about this policy or how your data is handled, contact: natalie@oxfordshirewinetastings.co.uk.

What we collect and why

  • Analytics

This website collects personal information to power our site analytics, including:

  • Information about your browser, network, and device

  • Web pages you visited prior to coming to this website

  • Your IP address

This may also include details about your use of this website, including clicks, internal links, pages visited, scrolling, searches, and timestamps.

We provide this information to Squarespace, our website analytics provider, to learn on the right.

  • Bookings & Payments

When you book a tasting on this website, we collect personal information to fulfil your order, including your billing and event address, email address, name, and phone number.

We provide this information to Squarespace, our online store and booking provider, so they can deliver the website and booking service to us. Our payment processor, Stripe, separately collects your payment information — see their privacy policy at stripe.com/gb/privacy.

As you check out, this site may auto-complete your address by sharing what you type with the Google Places API, which returns suggestions to speed up checkout.

We collect this information to fulfil our contract with you (i.e. to deliver the tasting you've booked).

  • Scheduling

When you schedule an appointment, we collect your name, email address, phone number, and details relating to your appointment, and any files you upload. This is provided to Squarespace, our online scheduling provider, so they can deliver the booking service, and is collected to fulfil our contract with you.

  • Event Licensing & ID Checks

Because each tasting requires a Temporary Event Notice (TEN) from the local council, we also collect and use:

  • The confirmed address where the event will take place, which is submitted to the relevant local council, and may be seen by the council's licensing team, police, and environmental health as part of the standard TEN process.

  • Photo ID, where we ask to see it in person to confirm a guest is 18 or over. We view this ID on the day; we do not photograph, copy, or retain it unless we are legally required to.

We collect this information to comply with our legal obligations under UK licensing law, and to fulfil our contract with the host.

  • Photos & Video

We may take photos or video during tastings to use for marketing, such as on social media or our website. Where you're identifiable in an image we intend to use publicly, we rely on your consent — you can opt out at any time by telling us before, during, or after the event, and we'll leave you out of shot or remove an existing image on request.

We keep marketing photos and video for as long as they remain in use for that purpose, or until you ask us to remove them.

  • International Transfers

Some of the providers we use — including Squarespace, Stripe, and Google — may process personal data outside the UK. Where this happens, they do so under recognised safeguards such as UK-approved standard contractual clauses. You can find more detail in each provider's own privacy policy.

  • How long we keep your information

We keep booking and payment records for 6 years to meet HMRC record-keeping requirements. Scheduling and enquiry details are kept for 2 years. Photo ID is not retained beyond the event, as noted above. Analytics data is retained by Squarespace in line with their own policy.

  • Your Rights

Under UK data protection law, you have the right to:

  • Ask us what personal data we hold about you, and get a copy of it

  • Ask us to correct inaccurate data

  • Ask us to delete your data, in some circumstances

  • Object to, or ask us to restrict, how we use your data

To exercise any of these, email natalie@oxfordshirewinetastings.co.uk. If you're unhappy with how we've handled your information, you can also complain to the Information Commissioner's Office (ICO) at ico.org.uk.
